You can import terminology into Wordbee provided that it is stored in one of the following file formats: Align Assist file (*.ftm), CSV file (*.csv), Excel (*.xls, *.xlsx), Open Office Calc (*.ods), TBX file (*.tbx), TMX file (*.tmx).

How to get here

There are two ways in which you can reach the Import new terminology database function:

Option 1: Create a new termbase from another file

  • Go to Resources and click on Add new.

  • Create new database wizard opens.

  • Select Import new Terminology Database from the file.

Option 2: Import terminology into an existing Wordbee terminology database

  • Go to Resources and select Terminology Databases from the drop-down list.

  • Select the terminology database in which you want to import the new terms. Resource details open.

  • Use the Import button to start the Import new terminology database wizard.

How to import a termbase

After you have completed the steps described in How to get here, continue as follows:

  • Select the type of file format you want to import.

    • If you select the Excel or CSV file type, you will be prompted to select additional import settings, see Examples.

  • Browse to the file you need to import and select it for upload.

  • Click Finish to start the import.

If the import is successful, the resource details window opens showing you the total number of imported records and the languages. Open the termbase in Terminology Manager to view or edit the terminological entries.

Examples

How to import an Excel glossary

Here is an example demonstrating how to import a simple Excel glossary into an existing Wordbee terminology database.

  • Go to Resources > Terminology and select the database in which you want to import your Excel glossary.

  • Use the Import button to start the Import terminology database wizard.

  • Continue with the steps described in the image below.


How to import a TBX file

The next example shows how to import a TBX subset of the IATE database that has been extracted from the IATE website.

  • Go to Resources > Terminology and click on Add new. The Create new database wizard opens.

  • Select Import new Terminology Database from file

  • Continue with the steps described in the image below.

How to import Excel glossaries

If you have an Excel glossary with the source language and target language terms listed in separate columns, you can import it into Wordbee as follows:

  • Go to Resources > Terminology and click on Add new. The Create new database wizard opens.

  • Select Import new Terminology Database from file.

  • Select Excel from the available file formats.

  • In the next window Select languages and name your new database.

  • Browse to your Excel or Open Office spreadsheet and upload it.

  • Choose sheets, columns and contents (see screenshot):

    1. Import sheet

      1. Select the sheets that you want to import.

    2. Header line

      1. Check box First line contains column headers or titles.

    3. Choose columns

      1. Map the content to the columns. You need to indicate what kind of content you have in which column.

    4. Select filters and other:

      1. Missing translations

        1. Skip monolingual (not translated) records.

      2. Merge with existing:

        1. Merge new and existing data - Replace existing translations.

        2. Merge new and existing data - Do not import if translation already exists.

        3. Do not merge but skip doubles.

        4. Do not merge and do not look for doubles (fastest!).

      3. Content formatting

        1. Content is HTML or XML formatted (import tags as markup).

      4. Optional import label

        1. Wordbee automatically identifies the name of your spreadsheet; hence, you can import the label.

    5. Verify how data will be imported: Click to preview. Wordbee will produce an HTML preview of your Excel file.

    6. If the text is properly extracted and displayed in the HTML preview, click Finish to start the import.

If the import is successful, you will see the details of your new terminology database in Resource details. Open the termbase in Terminology manager to view the imported terms and complete the entries.

To ensure a successful import, we recommend you to keep the Excel file as simple as possible.:

  • List the terms for each language in separate columns.

  • Clearly specify the headers and the language codes.

  • Eliminate any strange characters.

How to import TBX files

The next example shows how to import a TBX subset of the IATE database that has been extracted from the IATE website.

Go to Resources > Terminology and click on Add new. The Create new database wizard opens.

1. Select Import new Terminology Database from file and click Next.

2. Select TBX file from the available file formats and click Next.

3. In the next window browse to your TBX file and upload it. It should not exceed 250 MB. Click Next.

4. The next window shows the total number of records and languages Wordbee has identified in your file.

  • Select source language

  • Adjust the filters import settings, for example indicate how the system should treat the inline tags and the comments:

    • Inline tags: import inline tags, remove, replace with blancs.

    • Comments: import notes and descriptions.

  • Select the optional import label, i.e. the name of the file.

5. Click Finish to start the import.

If the import is successful, Wordbee will display the Resource details where you can see the number of total records and languages.

Open the termbase in Terminology manager to view or edit the terms.

If a TBX concept contains multiple terms per language, the system will create multiple bi-lingual segments with all possible combinations.
