You can import external terminology into Wordbee provided that it is stored in one of the following file formats:

  • Align Assist file (*.ftm)

    • This is a file produced by…

  • CSV file (*.csv)

    • This is a plain text file format that uses line breaks to separate characters. It is supported by Microsoft Excel.

  • Excel (*.xls, *.xlsx)

  • Open Office Calc (*.ods)

  • TBX file (*.tbx)

    • This is an XML-based standard used for exchanged structured terminological data.

  • TMX file (*.tmx)

    • Translation Memory Exchange

How to import a termbase

  • Go to Resources > Terminology.

  • Click on Add new to launch the Create new database wizard.

  • Select Import new Terminology Database from file.

  • Select the file format you want to import.

  • Select languages and name your new database.

  • Browse to the file you need to import.

  • If you import an Excel or CSV file, you will be prompted to map the columns to the content.

    • Apply import filters, if necessary.

    • Preview whether the content is displayed properly.

  • Click Finish to start the import.

If the import is successful, you can view the total number of terms imported in the Resource details window. Open the termbase in Terminology Manager to view and complete the terminological entries.

How to import an Excel glossary

  • Go to Resources > Terminology and click on Add new. The Create new database wizard opens.

  • Select Import new Terminology Database from file.

  • Select Excel from the available file formats.

  • In the next window Select languages and name your new database.

  • Browse to your Excel or Open Office spreadsheet and upload it.

  • Choose sheets, columns and contents (see screenshot):

    1. Import sheet:

      1. Select the sheets that you want to import.

    2. Header line

      1. Check box First line contains column headers or titles.

    3. Choose columns

      1. Map the content to the columns.

    4. Select filters and other:

      1. Missing translations

        1. Skip monolingual (not translated) records.

      2. Merge with existing:

        1. Merge new and existing data - Replace existing translations.

        2. Merge new and existing data - Do not import if translation already exists.

        3. Do not merge but skip doubles.

        4. Do not merge and do not look for doubles (fastest!).

      3. Content formatting:

        1. Content is HTML or XML formatted (import tags as markup).

      4. Optional import label:

        1. Wordbee automatically identifies the name of the spreadsheet.

    5. Verify how data will be imported: Click to preview

    6. If the text is properly extracted and displayed in the HTML preview, click Finish to start the import.

If the import is successful, you will see the details of your new terminology database in Resource details. Open the termbase in Terminology manager to view the imported terms and complete the entries.

You might need to prepare the Excel file before importing it into Wordbee as follows:

  • List each language in separate columns.

  • Clearly specify the headers and use appropriate language codes.

  • Remove any strange characters.
