Once you have created  a new word count profile, you will need to assign it to projectsto ensure an appropriate count for the document(s). In Wordbee it is possible to create two types of projects: Standard and CoDyt. Standard projects have limited automation, whereas CoDyt projects completely automate the project workflow and the financial administration for clients and suppliers. 

You can assign a word count profile during the project creation step:

  1. Go to Projects and click on New Project.

  2. Select the project type: Standard or CoDyt.

  3. Fill in the New project details.

  4. Add documents.

  5. Add resources.

  6. Add word count profile.

  7. Assign jobs.

  8. Check work and delivery.

To assign a word count profile, go to Word Count tab and click on the Count words icon.

A new window will pop up displaying the settings of the word count profile.

Here you can do the following:

  1. Assign a word count profile:

    • You can either use the Default Word count profile or

    • Click on the drop-down menu to assign a new word count profile that you have created. The moment you change the word count profile, all the settings below it are adjusted according to that profile.

    • If you click on the view details link, you are redirected to the Word Counting configuration area.

  2. Customize columns of the fuzzy match intervals. Remember that they need to match the intervals you configured in the pricelists you have negotiated with your client or supplier.

  3. Select the pre-translate settings:

    • Pre-translate from memories at this or higher similarity.

      • Note that existing translations are not replaced. Pre-translation uses the resources attached to the project!

    • Machine translate text not otherwise pretranslated. If you need to enable an MT engine, click on the Configure link to access the MT Configuration area.

    • Count already translated segments as pre-translated. Translations with red status are disregarded.

  4. Leverage the project memory by telling the system how to search for identical or similar matches in the project memory for the purpose of counting repetitions and pre-translation:

    • Scan all project documents.

    • Scan documents in the same folder only.

    • Scan documents with specific name only.

    • Disabled. Do not leverage project memory.

  5. Documents:

    • Count or pre-translate new documents only. If this option is ticked, then documents that are already counted, will not be re-counted!

After you have asigned the word count profile, click on OK. The word count statistics will be displayed.

Once jobs have been created and assigned, you can create a quote or an invoice based on the word count statistics report. 

If you decide to change the word count profile while the project is running, this might impact the fuzzy match and pre-translation analysis, and consequently your financial calculations. Therefore, it is recommended that you change the word count profile only after all the current jobs have been completed. The new word count profile should be applied only to new documents within a running project.
