Localization challenges

In the past, you had to handle tons of files manually when you wanted to have a website translated: download the files from the website directory, zip the files, send them by email to your translation provider or transfer them via an FTP server, convert the files for translation, import/export the target files, and return the files to your client for final approval and publishing. If you need to translate content only periodically, this workflow might still work. However, if you have to manage complex translation projects and many files manually, you might soon feel overwhelmed.

Today, with the continuous growth of the digital content market, automation has become the next frontier. Companies are using Content Management Systems (CMS) to manage and publish their content, while localizers are using Translation Management Systems (TMS) to automatically dispatch translation jobs, increase the productivity of their teams and reduce time to market.

To help you reduce the number of handoffs and simplify your localization workflows, Wordbee has developed Beebox, a powerful connector that can link many types of digital content sources to your Translation Management System.


What is Wordbee Beebox?

Wordbee Beebox is a smart middleware solution that can automatically identify and extract translatable content from cloud-based repositories and facilitate the handoff to a Translation Management System. Beebox can integrate with Content Management Systems and file-directories either through a connector or a custom API. Both options ensure a smooth and secure transfer of the translatable and localized content, eliminating manual and time-consuming tasks.

Natively, Beebox connects to Wordbee Translator, but you can use it in with your preferred Translation Management System. Once the source content has been translated and reviewed in your CAT tool, Beebox pushes it back to the content repository for final approval and publishing. Any new or updated source content can be automatically processed and dispatched for translation. This approach streamlines your localization workflow and simplifies the translation process. With Wordbee Beebox, you can manage your multilingual content efficiently and in a user-friendly manner.

What Beebox can do

You can use Beebox and Wordbee Translator to optimize your multilingual localization strategy. For example, instead of manually downloading pages from a website, you can connect your CMS to Beebox and Wordbee Translator and kick off the translation workflows automatically. This approach helps you eliminate time-consuming steps in the translation process.

We distinguish between two types of integrations:

File-based Beebox System Integrations

This is the traditional approach that works with file payloads via a secure FTP server. Beebox connects to your Document Management System (e.g. SharePoint, SAP), extracts the translatable content and generates the XLIFF files in a so-called “Hot Folder” via a secure FTP connection.

Beebox CMS Connectors

When you want to translate content from a CMS (e.g. Sitecore, Drupal), the Beebox integration is done via API and off-the-shelf Beebox CMS connectors. See this How-to article for more details: How Wordbee Beebox integrates with Content Management Systems.

Both options ensure a smooth and secure transfer of the translatable content between your content repository and TMS.


The process in a nutshell

 

 

  1. Once you connect Beebox to your content source and create a new project, the workflow can be initiated either automatically, manually or in a mixed-mode. The workflow depends on the integration type, file-based integration or CMS integration.

  2. The already-translated content can be aligned with previous translations and stored in a translation memory for future reuse. Next to translation memories, you can also use one of the machine translation connectors to pre-translate the segments and send them to your translators for post-editing.

  3. After you have prepared the project in Beebox and your client has approved the quote, you can create translation jobs in one or more languages and assign them to your team. Beebox will push the files to Wordbee Translator, and the translators will be able to translate the files in Translation Editor. 

  4. The translators will use the translation memories and terminology databases that you have enabled in the project. These resources will help them preserve translation consistency and save research time.

  5. As soon as the translators finish their task, the system automatically notifies the reviewers who can complete the jobs. Any time during the project, you can use the Live Preview add-on to verify the translated page. 

  6. When the content is localized in Wordbee Translator, Beebox will push it back to your CMS for final approval and publishing.

Besides CMS content, you can also use Beebox to localize GIT and software content or pull content from file-sharing repositories, such as Dropbox. You can find a complete overview of the supported formats on Beebox File Formats.


Installation

You can host Beebox either on your premises or the Wordbee servers. If you prefer the latter option, the Wordbee team will take care of the installation and provide you with credentials to access the Beebox hot folders via a secure FTP connection.
