This guide is for Wordbee Translator administrators and explains how to enable a translation service for Outlook users.
The Outlook Addin links to the Instant Translation tool in your Wordbee Translator. Instant Translation is a web interface where your (authorized) users upload files to obtain gist translations. If you already configured this tool for some or all of your users then there is nothing left to do: The users can translate from Outlook right away.
Create one or more Instant Translation forms
A "form" defines how translation will happen:
- The source and target languages made available to users.
- The type of files that can be translated, as well as how content is translated.
- Any translation memories to use for pretranslation (typically these would be specific per your customer).
- The machine translation system to use.
- Options for post-editing
Once a form is created you assign it to corporate or client users. From then on these users can request translation from Outlook.
You can create as many forms as you like, such as one per client. This is indeed necessary if you want to configure client specific translation memories.
Assign form to corporate or client users
Navigate to the client company profile and assign the form. For inhouse users, navigate to "My company" and assign the form. Keep in mind that the form is assigned to a company and not individual users!
Not all users have the right to use the form, even if you had assigned a form to their company. It depends on the user's user profile. There is a dedicated access right that enables or disables access. The default user profiles enabling access are:
- Manager
- Team leader
- Client
- Client & Worker
If this is too restricted, you can of course customize user profiles to your requirements.
